1 | Who we are and why this policy matters

Rentfinder.ie cares deeply about your privacy. We process only the data needed to provide and improve our services and handle all information about you with care. We never make your data available to third parties for commercial purposes.

This privacy policy applies to the use of the Rentfinder.ie website and the services made available through it.

Effective date: 20 May 2025. When we publish a new version, it supersedes all previous versions.

The policy explains:

-what data we collect,

-how we use them,

-with whom we may share them and under what conditions,

-how we store and secure them, and

-your rights regarding the personal data you provide.

2 | Data processing overview

Below you’ll find how we process your data, where we (or our partners) store them, which security techniques we use and who can access the information.

2.1 E-commerce and hosting software

WooCommerce & TransIP

Our shop is built with WooCommerce and hosted by TransIP. Personal data you supply for our services are shared with TransIP solely for technical support; they never use your data for any other purpose. Under contract, TransIP must implement appropriate safeguards (SSL encryption, strong password policy, regular backups).

Self-hosted WooCommerce server

We also run WooCommerce on our own server. We have taken suitable technical and organisational measures (SSL, strong passwords, regular backups) to prevent misuse, loss or corruption of data.

2.2 Email & newsletters

Mailchimp

We use Mailchimp for website email traffic and newsletters. Confirmation emails and web-form messages are sent via Mailchimp servers. Mailchimp never uses your name or email for its own purposes. Every automated email contains an “unsubscribe” link; clicking it stops future mail (which may limit site functionality). Mailchimp stores your data securely, uses cookies to see whether emails are opened, and may share anonymised data with third parties to improve its service.

Business email via TransIP

We use TransIP for regular business emails. TransIP has taken security measures to prevent misuse, loss and corruption of data. TransIP has no access to our inbox and all mail is treated confidentially.

2.3 Payments

Mollie

We use Mollie to process payments. Mollie handles your name, address and payment details (e.g. bank or card number) and has security measures in place. Mollie may use anonymised data to improve its services and may involve third parties under the same safeguards. Data are stored no longer than legally permitted.

2.4 Shipping & logistics

Royal Mail

If you place an order requiring delivery, we share your name and address with Royal Mail so that your parcel can be delivered. Royal Mail uses these data solely to fulfil the contract and may share them with its authorised delivery partners for that purpose.

2.5 Accounting

FreeAgent & Intrim

We use FreeAgent for bookkeeping, sharing your name, address and order details to administer sales invoices. FreeAgent transmits and stores data securely and is bound by confidentiality. Unpaid invoices may be transferred to our collection partner Intrim (see its terms).

3 | Purpose of processing

We use your data solely to provide our services; processing is always directly related to the task you give us. We do not use your data for targeted marketing without explicit consent. Data are shared only to meet bookkeeping or other administrative obligations, and such third parties are bound by confidentiality.

Automatically collected data (e.g., IP address, browser, OS) help us improve the service and are not personal data.

4 | Legal disclosure

Rentfinder.ie may be compelled by law to share your data for tax or criminal investigations. We will resist disclosure within the limits permitted by law.

5 | Retention periods

We keep your data while you remain a client. Your profile is deleted (and treated as a “forget” request) when you tell us you no longer wish to use our services. Invoices must be kept for the statutory retention period; staff can no longer access your profile once your account is closed.

6 | Your rights

Under EU GDPR and UK GDPR (where applicable) you have rights regarding your personal data. We explain these below and how to exercise them. To prevent misuse we send copies only to the email address already on file; if you want them sent elsewhere, we will ask for ID.

6.1 Right of access

You may request access to data relating to you. We will respond within 30 days with a copy and a list of processors holding the data.

6.2 Right to rectification

You may request correction of inaccurate or incomplete data. We will confirm within 30 days when done.

6.3 Right to restriction

You may ask us to limit processing of your data. We will confirm within 30 days and pause processing until you lift the restriction.

6.4 Right to portability

You may request that we transfer your data to another party. We will provide machine-readable copies within 30 days. This may end the service because secure data-links can no longer be guaranteed.

6.5 Right to object & other rights

You may object to the processing of your personal data. We will suspend processing while we review your objection. If your objection is upheld, we will supply copies of the relevant data and cease processing permanently. You also have the right not to be subject to automated individual decision-making or profiling; we do not process your data in that way. If you believe otherwise, please contact us. You can lodge a complaint with the Data Protection Commission (DPC) if you believe we are misusing your data.

7 | Cookies & Google Analytics

Our site places cookies from Google Analytics to see how visitors use the site. Google may combine this information with other datasets and track your movements online, using it for services such as targeted ads (AdWords). Third-party software that uses cookies is listed in this policy.

8 | Policy changes

We may change this policy at any time; this page always shows the latest version. If changes affect how we process data already collected, we will notify you by email.
